Guidelines & Instructions

Guidelines for Speakers

Oral Presentations

It is recommended to prepare the presentation files in the Portable Document Format (*.pdf). All Microsoft PowerPoint files (*.ppt/*.pps/*.pptx/*.ppsx) will be accepted as well. Files containing the presentations will be stored, tested in, and distributed from the central server, so the Authors are encouraged to send them prior to the Conference using our website service (which will be open in September). It will be possible to deliver the files directly to the ‘Slide Room’ a day before the presentation, on USB-drives (there will be no CD‑ROM or other disc drives), but the organizers will be grateful for uploading the files in advance.

The files should be named by the ID number of the accepted abstract followed by the Author’s surname, e.g. 321_Smith.pdf (for revised abstracts use the ID of the last, accepted document).

Most talks are 20-minutes in length including time for questions and answers. Keynote lectures are 40 minutes long.

The presentation computers will be equipped with Microsoft PowerPoint and Adobe Acrobat Reader.

Poster Presentations

Posters are to be attached to the boards on Sunday, or on Monday in the morning. Suitable adhesive materials will be provided for the authors in place. The preferred format of posters is A0 portrait mode. However, each board can hold a poster up to 0,98 m wide and 2,20 m high (3.2 ft x 7.2 ft). Each poster must include text in a large enough font to be read easily from a distance of up to 1.5m.

All authors must print and bring their posters to the conference.

The organizers will tag the poster boards by the abstract IDs. Titles and author’s names should go with the posters.

The conference attendees will be able to watch the posters all the time. However, presenting authors are expected to be available in front of the poster during the poster session only. There will be no slide or PC presentation during this session.

The Session Chairmen

Detailed, letter instructions will be handed to each of the Chairmen during the registration.
The main duty of the Chairman is to keep to the time schedule.
In the case of no show, the Chairman announces a 20-minute break in a session.

Registration at the reception desk

The conference registration desk will be located in the Auditorium Maximum – the central place of the conference, starting on Sunday, September 8, 11:00 AM. It will be open for queries and the late registrations throughout the conference from 8:15 AM each day.
